Export or delete your data

Last updated 14 October 2026

This is a draft. It describes accurately what the software does with data and money. It has not been reviewed by a lawyer, and nothing here should be read as a claim that Kyrovane is compliant with the law of any particular country until that review has happened.

If your organisation uses Kyrovane

The workspace’s owner can take everything out, and can delete the workspace, from inside Kyrovane: go to Settings, then Privacy.

  • Download everything gives one ZIP of every kind of record the workspace holds and the people in it, with a note of what was left out (credentials, and nothing else). It is built as it downloads, and Kyrovane keeps no copy.
  • Delete this workspace asks for the workspace’s name and the owner’s password, and schedules the deletion fourteen days ahead. What happens next is below.

Anybody in the workspace can take out parts of it where they work: creators as a spreadsheet, any generated report as a spreadsheet or a PDF, and the audit log with the checks that prove it was not altered. Only the owner can download everything or delete the workspace; anybody else should ask them.

To have one person’s details erased, such as a creator who asked, or for anything else about your data, use the request form on the same page. It goes to a person at Kyrovane, who replies there. You can also write to privacy@kyrovane.com; we may ask you to confirm the request from the account, so nobody can ask for your data or its deletion by email alone.

What deleting a workspace does

  1. Fourteen days to change your mind. The workspace keeps working, so everything can still be downloaded, and the owner can cancel. Everybody in it is told at once, and every page says the day. Workflows, outreach and report deliveries pause, because a workspace being closed should not go on writing to creators. A plan that renews has to be cancelled first.
  2. Then it closes. On the day, at the next daily run, every membership, invitation, API key and sign-in ends, and nobody can open the workspace again from Kyrovane.
  3. Then it is erased. No sooner than 30 days after it closed, the people who run Kyrovane erase every record the workspace held from the database, together with the accounts of people who belonged to no other workspace. What is kept is a record that the erasure happened, with dates and counts, and what was billed: each invoice’s and payment’s reference at the payment provider, amount, currency and dates, without names or addresses. The invoices themselves are issued and kept by the payment provider that took the payment.
  4. Backups. Copies of the database made for disaster recovery are deleted after 14 days, so erased data leaves them over that time rather than at once. If a backup is ever restored, every workspace erased since it was taken is erased again before the restored copy is used.

How long a closed workspace waits before it is erased, how long backups and the billing record are kept, and whether any record must be kept for longer by law, require legal review; the periods above are what the software does today. The privacy notice has the rest.

If you are a creator

The agency or brand that contacted you decides what it holds about you and why; Kyrovane holds it for them. Ask them first: they can export your details from Kyrovane, delete your record, and add you to their do-not-contact list so you are not contacted again (that list keeps only the address or handle, so it works after your record is gone).

If you do not know which agency it was, or they do not answer, write to privacy@kyrovane.com with your handle or address. We will tell the workspaces that hold it about your request and help them act on it.
